OFFICE MANAGER

Downtown Manhattan, Inc. is seeking a self-motivated individual to assist the Executive Director in the day-to-day operations of supporting the Downtown business neighborhood. The right person will be highly organized, have strong bookkeeping and payroll skills and will possess strong organizational skills. Some knowledge of website administration is desirable, and training is available for the right person. The Office Manager will be a detail-oriented individual who can also easily shift between tasks. This position has a unique annual property inventory project in conjunction with the City of Manhattan. Having a skillset that includes project management/administration is a plus. The right person must be able to communicate with a wide audience, including business/property owners and city staff.

This job will be part-time at 20+ hours a week. Pay commensurate with experience.

General Responsibilities:

  • Keep an office presence and maintain office organization
  • Answer the phone, monitor e-mails and mail, follow up as necessary
  • Conduct research to maintain the current list of Downtown businesses and contact information
  • Coordinate sidewalk/trash maintenance needs
  • Maintain office equipment, hardware, software and supplies
  • Attend monthly Board of Directors meetings, acting as board secretary

Payroll & Human Resources:

  • Manage all aspects of payroll, including timely payment of payroll taxes
  • Take care of annual employee tax requirements
  • Maintain necessary employee paperwork and employee files for staff
  • Track employee time sheets and leave accruals
  • Coordinate employee benefits
  • Maintain the About, Board of Directors, Business Improvement District, Jobs and available properties
    pages on the website

Accounting and Bookkeeping:

  • Monitor bank account, make deposits, reconcile on a monthly basis
  • Maintain accounts receivable and payable for all office income and expenses
  • Create monthly finance reports for director and the DMI board
  • Create annual budgets and budget projections as needed
  • Assist accountant with annual tax returns
  • Assist staff (Event Manager) with invoices for billing

Downtown Business Improvement District (DBID):

  • Help educate the district and public about the DBID
  • Conduct an annual audit of businesses to include current contact info on all new businesses
  • Collect and maintain supporting documents for DBID compliance
  • File DBID reimbursement reports with city
  • Attend DBID Advisory Board quarterly meetings, acting as secretary
  • Keep the website up to date with current businesses / remove closed businesses
  • Manage DBID Intern from October through December

Special Event Support:

  • Support Downtown events as needed, coordinating with other DMI staff. Tasks may include:
    – Flyer distribution
    – “No Parking” sign posting
    – Event setup and tear down
    – Event attendance/work
    – Must be able to perform some light labor
  • Common Consumption Area Coordinator for events with alcohol

Preferred Knowledge:

  • A familiarity with Manhattan and Downtown
  • Project Management or Administration
